Training Matrix with Certificates
Health and safety training matrix with certificates
Featherstone Safety Hub includes a live training matrix that shows exactly who has completed what health and safety training, when their certifications expire and what is currently overdue — with certificate storage attached to each record. Instead of a spreadsheet with out-of-date dates and certificates scattered across email folders, you have one current, automated system that alerts you before renewals are missed.
Built by NEBOSH-qualified practitioners, from £29 per month, with a 14-day free trial and no long-term contract.
What a training matrix is and what UK law requires
A training matrix is a tool that maps every employee against the training their role requires, showing current status — completed, current, expiring soon, overdue — for each combination. Under UK health and safety law, employers must ensure that employees are adequately trained and competent to carry out their work safely, and must be able to demonstrate this.
The Management of Health and Safety at Work Regulations 1999 require employers to provide health and safety training on joining, when risks change and at regular intervals for refresher purposes. First aid training, fire safety training, manual handling, COSHH awareness, food safety, DSE, IPAF and PASMA all carry specific training requirements. A training matrix turns what could be an unmanageable set of individual obligations into one clear, visual system.
- First aid: First Aid at Work (3 years), Emergency First Aid at Work (3 years) — dates and certificate numbers tracked.
- Fire marshal / warden: typically renewed every 3 years — tracked with certificate storage.
- Food safety: Level 2 Food Hygiene typically every 3 years — certificates stored with expiry alerts.
- Manual handling: role-specific; good practice is every 3 years — completion dates tracked.
- DSE: required when work changes and periodically — assessment date and completion tracked.
- COSHH awareness: substance-specific where required — linked to the relevant COSHH assessment.
- IPAF / PASMA / LOLER: equipment-specific licences with fixed renewal periods — stored with certificate numbers.
Certificate storage linked to each training record
A training date without a certificate is a claim, not evidence. Featherstone Safety Hub stores the actual certificate document against each training record, so the completion date and the certificate are in one place. This is the record an HSE inspector or personal injury solicitor will want to see: not just that the training happened, but that you can prove it.
When a first aider's certificate is renewed, the new certificate replaces the old one in the system, and the expiry date updates automatically. The history is preserved — you can see every certificate a person has ever held.
Automatic expiry alerts
Expiry dates drift. A first aider's certificate renews in year one, and by year three the renewal is genuinely uncertain — is it this month or next? Do we have anyone else who is current? Featherstone Safety Hub alerts you when certificates are approaching their expiry date, so you arrange renewals before the gaps appear.
The training matrix dashboard shows the status at a glance: green for current, amber for expiring within 60 days, red for overdue. You can see who needs what by role, by individual or by training course — so gaps are visible before they become a liability.
Works for all staff including contractors and volunteers
Training tracking is not just for permanent employees. Contractors on site need to be inducted and may need specific training. Volunteers in charities and community organisations need the same competency tracking as paid staff. Featherstone Safety Hub tracks training across all people in your system, not just employees, so the matrix is complete.
